How Dues Rules Work

Dues Rules decide what unpaid bills do to a member: when the door closes, when they are suspended, and when they come back. You set them once for your gym.

Before you start

  • Only the gym owner (or staff who can change gym settings) can change Dues Rules.
  • Changes apply to every member right away.
  1. Step 1: Open Billing Settings

In the left menu, open Gym Settings and choose Billing Settings. Dues Rules is a section on that page.

    1. Billing Settings, under Gym Settings in the left menu.
    2. The Billing Settings page. Scroll down to Dues Rules.
  2. Step 2: Set the rules

Example with the door closing after 7 days and suspend after 2 bills: 3 days before the door closes, the member gets a message saying when and how much they owe. 7 days after the due date, if the bill is still unpaid, the door closes. When a second bill is also overdue, the member is suspended and gets no new bills. When they pay everything, the door opens again and, with Reactivate When Fully Paid on, they are active again by themselves.

    1. Lock the Door After Unpaid Days: days after a bill is due before the door closes. One member can have their own number on their profile.
    2. Automatic Suspend: suspend members who keep bills unpaid. They are told by message first.
    3. Suspend After Unpaid Bills: how many overdue bills suspend a member (shows when Automatic Suspend is on).
    4. Reactivate When Fully Paid: a member suspended for unpaid bills becomes active again once everything is paid.
    5. Cancel After Days Suspended: cancel a member who stays suspended this many days. Leave it blank to never cancel automatically.
  3. Step 3: Set pauses and save

Set the longest pause you allow and whether members with unpaid bills may pause, then click Save Settings. Door devices follow these rules when Payment Status on Door Devices is on.

    1. Longest Pause (Days): the longest one pause can last.
    2. Allow Pause With Unpaid Bills: off means a member must be paid up before a pause.
    3. Save Settings.

If Something Goes Wrong

Payment only brings back members suspended for unpaid bills, and only when Reactivate When Fully Paid is on. A member suspended by staff stays suspended until staff reactivate them on the member's profile.

A payment the member reported waits for your approval in Billing → Payment Approvals. It changes nothing until you approve it.

Gyms that used GymCity before Dues Rules came started with 15 lock days and Automatic Suspend off, so nothing changed for their members until they chose. Change them here when you are ready.
